Last updated: 17 September 2026

1.Introduction

Neon Accounting ("Neon Accounting", "we", "us" or "our") is a South African accounting practice providing accounting, bookkeeping, payroll, tax compliance and related services to small and growing businesses. These Terms & Conditions govern your use of our website and the general framework under which we provide our services.

Where you have signed a separate engagement letter, quotation, proposal or service agreement with Neon Accounting, that document will take precedence over these Terms & Conditions to the extent of any conflict.

2.Scope of Services

The specific services provided to you depend on the package, quotation, proposal and/or engagement letter agreed between you and Neon Accounting. Our services may include:

  • Accounting and bookkeeping
  • Tax compliance and SARS submissions
  • VAT and PAYE
  • Payroll and EMP201/EMP501-related services
  • Income tax returns and provisional tax
  • Company and individual tax compliance
  • Management accounts and reporting
  • Financial statement preparation
  • General accounting advisory and support

Not every service listed above is included for every client. The scope of your particular engagement is determined by your signed agreement with us.

3.Client Responsibilities

To enable us to provide services effectively, you are responsible for:

  • Providing complete, accurate and timely information
  • Providing information by the deadlines we request
  • Providing supporting documents where required
  • Reviewing reports, returns and submissions where requested
  • Informing us of changes affecting your business or tax affairs
  • Maintaining appropriate records
  • Paying fees when due

We may rely on information supplied by you unless there is an obvious reason to question it.

4.SARS and Statutory Deadlines

We will endeavour to meet all applicable SARS and statutory deadlines based on information being supplied by you in sufficient time. We cannot guarantee that a statutory deadline can be met where information is supplied late, incomplete or incorrectly.

Where additional work is caused by late information or urgent requests, that work may fall outside the normal monthly service and may be charged separately.

5.Accuracy of Client Information

We are not responsible for errors, penalties, interest, delays or other consequences arising from inaccurate, incomplete, misleading or omitted information supplied by you or your representatives.

6.Fees and Payment

  • Fees are determined according to your quotation, package or engagement agreement.
  • Fees are payable according to the agreed payment terms.
  • Additional work outside the agreed scope may be charged separately.
  • Government, statutory and third-party fees are not necessarily included unless specifically stated.
  • We may suspend services where accounts are materially overdue, subject to applicable contractual and legal requirements.

7.Additional / Out-of-Scope Work

Examples of work that may fall outside the agreed monthly scope include:

  • Historical bookkeeping clean-ups
  • SARS disputes or objections
  • Complex reconciliations
  • Large volumes of unreconciled transactions
  • Catch-up accounting
  • Audits or independent reviews
  • Company restructures
  • Special reports
  • Urgent submissions
  • Investigations
  • Work resulting from information not previously disclosed

Additional work may require a separate quotation.

8.Third-Party Systems

We may use third-party platforms such as Xero, Sage, QuickBooks, Google Workspace, banking platforms, SARS eFiling and other software. We are not responsible for outages, failures, data loss or changes caused by third-party systems outside our reasonable control.

9.Confidentiality

We treat your financial and business information confidentially and will not disclose it except where necessary to provide services, where required by law or regulation, or where authorised by you.

10.Limitation of Liability

To the fullest extent permitted by South African law, our liability for any claim arising from our services is limited to the fees paid for the specific engagement giving rise to the claim. Nothing in these Terms excludes liability that cannot lawfully be excluded.

11.Tax Advice

Tax advice is based on information and legislation available at the time. Complex matters may require specialist legal or tax advice, which we may recommend you obtain.

12.Intellectual Property

Reports, templates, workpapers, systems, processes and proprietary materials created by Neon Accounting remain our property. You retain ownership of your financial information and data.

13.Termination

Either party may terminate services in accordance with the notice period set out in the applicable engagement letter or service agreement. Outstanding fees remain payable after termination.

14.Records and Handover

Upon termination, we will make reasonable arrangements for the handover of your records and information. Retention periods are determined by applicable legal and professional requirements.

15.Changes to Terms

We may update these Terms from time to time. Where there is a conflict, your signed engagement agreement takes precedence.

16.Governing Law

These Terms are governed by the laws of the Republic of South Africa.
